THE RETAIL DESK / GUIDE

Move your products to a new till with a CSV file.

Prepare a product-only file, preserve the original and agree the mapping before importing. Start with a small sample and inspect the result.

01

Keep the original export unchanged

Export products from your current supplier into a format you can inspect. Keep a separate working copy. Preserve barcodes as text, including leading zeros; spreadsheet software can otherwise convert them into numbers or scientific notation. A product sample should not contain customer names, account balances or staff details.

02

Use the template as a mapping aid

The downloadable template contains the current Malvern import headings: barcode, name, price, cost, stock, category, subcategory, supplier, vat, minimum stock, age_restricted, verification_rule and active. A blank field leaves an existing value unchanged. For a new product, agree a usable name and price. VAT categories are standard, reduced, zero or exempt; the business remains responsible for its classifications.

03

Check the fields that change money or quantities

Price and cost are pounds, not pence. For example, 1.50 means £1.50. Stock is a target quantity rather than an amount to add. Importing a stock value can therefore create an adjustment. A repeated barcode can update an existing product. Do not use guessed stock or tax values just to fill a column.

04

Review a representative sample first

Include a barcode with a leading zero, a loose item, a restricted item and one product from each tax category you actually use. Agree mapping, review rejected rows and compare source and imported product counts. Test the prepared file in an isolated sample before an authorised change to shop records.

05

Agree scope before sending your file

The template does not promise that every historical record or supplier-specific field can be migrated. Ask us to review your format and the exceptions. Your written proposal identifies the product migration, hardware and training work included.

Useful files. No email required.

The files contain no real customer or product records. Keep your original export and agree import/stock changes before applying them.
